is no secret that contractors need accurate, timely
financial reporting if they want to attain financing.
Bonding agents and financial institutions need these
reports to authorize such financing, and financial
statements are only good if they are up to date.
As technology becomes more commonplace, real-time
financial information is no longer desired so much as it
is demanded.

Electronic Invoice Routing and Approval Puts an End to the
Paper Chase

Unfortunately, every subcontractor or vendor invoice
received in a contractor’s office does not match the
purchase order or subcontract agreement with which it is
associated. These exceptions typically start a chaotic
process referred to as the paper chase.
In a typical contractor’s office these invoices, as
well as
some others from time to time, need someone other than
the accounts payable (AP) clerk to give their approval
before they can be processed for payment. The manual
process would have the AP clerk walk or fax the invoice
to another office, put it on a project manager’s or
purchasing agent’s desk, and then go back and hope that
sometime in the near future it will make its way back to
their desk so they can enter it into the accounting
system for payment.

Paperless CPA - Myth or Reality?

CPAs now owe it to their clients to go paperless. They have
almost all the necessary technology and software needed to convert their office
into a paperless office.
As a new CPA on the block, about eight years ago, I had made it a practice to
read as much as possible on practice management along with the regular reading I
had to do keep up with the technical matters. I came across articles after
articles about how it was possible for CPAs to operate in an almost paperless
office. It was, however, quite difficult for me to imagine my own office being a
paperless office.
